Companies know that a corporate travel policy is only effective if travelers comply with it, so managing traveler behavior is something to consider after the negotiation process with suppliers. In most cases, travelers are looking to do the right thing.

If companies are not complying with travel policy, it is simply because they are not aware that it exists or the value it can bring to their company. Travel buyers know the potential savings behind it.

Companies that have successful programs and achieve savings have figured out how to encourage savings by making their travel policy more traveler-focused. This starts with measuring missed opportunities and has to be combined with training and an advanced communications strategy in which companies reinforce compliance and accountability messages.

The more companies are able to foster commitment and responsibility among their travelers, the greater the savings derived from corporate travel programs. While corporate cultures may vary, there are several ways companies can influence traveler behavior:

Education
Ensure that the public is aware of the basics of travel policy. It is also important that they are aware of the overall strategy, preferred suppliers, etc. Creating welcome handbooks for new employees is a very effective way to communicate behavior that is considered appropriate and is easier than correcting undesirable attitudes.

Communication
Use technological tools such as messaging, point cards, and other tools such as signage, training seminars (face-to-face or online), and a handbook that outlines guidelines and is housed in the travel section of the intranet. Communications need to be engaging and inviting to travelers to consume information.

Recognition
Establish a recognition and reward system through gamification tools or through a more informal program developed in partnership with the corporate travel and human resources teams.
